AI lead follow-up for tradies: a practical setup guide

AI lead follow-up for tradies solves one problem: the phone rings or a form arrives while you are on the tools, and the next tradie on the list picks up. This guide shows how to set it up for a plumber, electrician, builder or similar business, from the questions the agent asks to what happens at 9pm on a Saturday.

Two different problems: missed calls and cold enquiries
Tradies lose work in two ways, and the tools differ.

If you only miss calls, buy the receptionist. If enquiries sit unanswered, you need follow-up. Some businesses need both.
AI lead follow-up for tradies: what it should handle
A good setup does five jobs without you touching the phone:
- Replies to every enquiry within minutes, including evenings and weekends.
- Asks the right questions to size up the job.
- Separates urgent jobs from quotes.
- Sends urgent jobs to a person and books the rest into your diary.
- Logs what was said, so you arrive knowing the job.
The questions the agent should ask
Keep them short. These are a starting point, and you decide the final list:
- What is the job? A leaking tap, a switchboard upgrade, a bathroom renovation.
- Where is it? Suburb or postcode, so you can say whether it is inside your service area.
- How urgent is it? Happening now, this week, or just pricing.
- When can someone be there? Preferred days and times for a visit.
- Best number and name.
Ask nothing you do not need to book the visit. Fewer questions mean fewer hang-ups.
Sort emergencies from quotes

Live transfer only works if someone can pick up. Our guide to AI live transfer covers the failure cases. Without a person on call, book the job and alert you at once instead. Tell the agent what to say if someone describes a gas smell or an electrical emergency: that is your decision, and a plain instruction to contact the emergency services belongs in it.
Get consent on the form
Most of your customers are householders, and householders' personal mobile numbers can be on the Do Not Call Register. ACMA says a person can register a personal mobile, and after a number has been on the register for 30 days telemarketers can call only if the person has consented or the caller is exempt. For urgent jobs, add a second option: "This is urgent, please call me now, even outside normal hours." The telemarketing Industry Standard allows a call outside permitted hours if the person has given express consent in advance to that particular call. That is our reading of the rule, so check it with your adviser.
What happens at 9pm on a Saturday
The Standard allows telemarketing calls on weekdays from 9am to 8pm and Saturdays from 9am to 5pm, with none on Sundays or national public holidays, measured at the customer's usual residential address. ACMA publishes the table on its telemarketing page. So the setup should:
- send an acknowledgement text at once if the person consented to texts;
- call at the next permitted time, for example 9am Monday for a Saturday-night quote request;
- call straight away only when the person asked for an urgent call outside hours;
- send urgent jobs the person phoned in through your usual after-hours process, because an inbound call is not a callback.

The missed-call text
A text that says "Sorry we missed your call, here is how to book" is a popular first step. We did not find ACMA guidance on missed-call texts, so we cannot say whether one is safe without consent. A message that only acknowledges the missed call and offers a way to book is less likely to be promotional than one that adds an offer, but check with your adviser, include your business name and a way to opt out, and read our Spam Act guide.
A setup you can copy
- Put a consent box on every form, plus an urgent-call option.
- Write five short questions and the urgent-versus-quote rule.
- Name the on-call person and a fallback, with their hours.
- Open every call with your business name, the purpose, and the fact that it is an AI.
- Book into your calendar and confirm by text with your name and an opt-out.
- Read ten calls a month and fix what the agent got wrong.

Can AI book quote visits?
Yes. The agent asks for the job details, offers times from your calendar and books the visit. Hot or urgent jobs can transfer to a person instead.
Will customers mind talking to an AI?
We have no verified results to quote. Tell them it is an AI at the start, keep the call short, and make it easy to reach a person.
Do I need a receptionist and follow-up?
Only if you have both problems. A receptionist handles inbound calls you miss. Follow-up handles enquiries that arrive by form or ad.
What if the job is outside my area?
Put your service area in the questions. The agent can decline politely and save you the drive.
