Lead generation pricing in Australia: the models compared

Lead generation pricing in Australia comes in five shapes, and comparing them on headline price alone is how businesses overspend. A $49 tool, a $190-an-hour consultant, a $3,000 retainer and a $150-a-booking service are not selling the same thing, so the cheapest number on the page is rarely the cheapest outcome.
This guide sets out each pricing model, the figures providers publish for it, and a way to compare them on total cost. We sell one of these models ourselves, so we publish our own prices at the end and say plainly where another model fits better.
Lead generation pricing models side by side
Every figure below is as stated by the provider named, on its own site or blog. They are claims, not audited prices, and several come from US-based vendors writing about business-to-business appointment setting, where currency and definitions differ. Treat them as a guide to the shape of the market.

How each model works in practice
Pay per lead
You pay for each enquiry delivered. It is simple to budget, but "lead" can mean anything from a verified, consenting prospect to a form fill. Ask what is checked before you are charged, and whether the lead is exclusive to you.
Pay per booked appointment
You pay when a call is booked. It moves risk to the provider, but only as far as the definition of "qualified" goes, and that definition is written into the contract. Vendors' stated ranges are wide for exactly that reason. Ask for the criteria in writing and what happens when a booked appointment does not show.
Agency retainer
A monthly fee for strategy and delivery, with advertising spend on top. The fee buys effort, not outcomes, so ask what you will see each week and what the exit terms are.
Software subscription
The cheapest line on the table and the most work for you. The tool answers or dials; you still supply the offer, the leads, the scripts and the follow-up process. Our guide to AI receptionist cost shows how the billing details change the real price.
Hourly build
InterMeta publishes a rate card: Discovery at $250 an hour for two hours, then packages from $190 an hour at five hours a week to $140 an hour at twenty. At those rates a week costs $950 (Starter), $1,500 (Pro) or $2,800 (Enterprise), by our arithmetic. This buys a consultant's time to design and build automation, not a ready-made lead service, which is why it sits in its own row.
Setup plus monthly
A one-time fee to build the system, then a flat monthly fee to run and tune it. Costs are predictable and not tied to a per-lead or per-booking rate, so how much value you get depends on the volume of enquiries you send through it.
Lead generation pricing: the total-cost formula
To compare any of the models, add up everything you will actually pay in a year:
- Setup or onboarding fees. One-off costs to build, connect and test.
- Monthly fees, multiplied by twelve.
- Per-unit fees: per lead, per booking, per call or per minute, at the volume you expect.
- Advertising spend, which is almost never included.
- Tools and phone costs paid directly to other providers.
- Your time, including what it costs when leads are not followed up.
A worked comparison: twenty booked appointments a month
This is arithmetic from the published figures to show how the models behave, not a forecast of what anyone will achieve. Suppose you want twenty booked appointments a month.
- Pay per booked call at $40 to $220: $800 to $4,400 a month, if the provider's definition of a booking matches yours.
- Pay per booked meeting at $100 to $600 (US figures): $2,000 to $12,000 a month.
- Retainer at $3,000 to $15,000: a fixed fee, plus ad spend, whether you get twenty or five.
- Setup plus monthly: a fixed monthly fee that does not change with the number of bookings. The cost per booking falls as more enquiries flow through and rises if few do, so we cannot quote you one without your lead volume.
The honest takeaway is that per-booking models are cheaper at low volume and flat-fee models are cheaper at high volume, with a crossover somewhere in between. Where it falls depends on your lead flow, which you can estimate with our calculator.

We charge a one-time setup fee, then a flat monthly retainer, with no lock-in:

First-year total is setup plus twelve monthly fees. It excludes advertising spend and tool and phone costs, which are typically $150 to $300 a month paid directly to the providers. The engines are the AI Lead Gen Engine, which captures, qualifies and books, and the AI Outbound Call Engine, which texts and calls every new enquiry within minutes.

What to check in any quote
- What exactly counts as a lead, a qualified lead or a booked appointment?
- What is billed on top: ad spend, usage, tools, integrations?
- What is the minimum term, and how do I leave?
- Who owns the phone numbers, data and accounts when I stop?
- What reporting will I see, and how often?

Lead generation pricing: common questions
What is a good cost per lead in Australia?
There is no single number. It varies widely by industry, region and how a lead is defined. One vendor states raw leads at $10 to $80, but that is a claim, not a benchmark. Compare cost per booked, qualified appointment, not cost per raw lead.
Is pay per appointment cheaper than a retainer?
At low volumes it can be. The risk is the definition of a qualified appointment and what happens with no-shows. Read that clause before the price.
Why do providers hide their prices?
Some price to the client, so the quote depends on the business. That is a legitimate reason, but a published range makes quotes easy to compare. Several of the providers above publish none.
Do I need to run ads to use lead follow-up automation?
No. It works on any enquiry: website forms, calls you missed, referrals. Ads simply produce more enquiries for it to handle.
