AI live transfer: what it is and when your business needs it

AI live transfer is when an AI agent qualifies a lead on the phone and then connects the call to a person on your team while the lead is still on the line. It turns a form submission into a live conversation with your salesperson in minutes, without anyone on your team dialling.
It is not the right choice for every business or every lead. This guide explains how it works, the difference between a warm and a cold transfer, what goes wrong when nobody picks up, and when booking an appointment is the better outcome. It describes our own engine and the options other providers list, and where we are giving our view we say so.
How AI live transfer works
In our AI Outbound Call Engine, the sequence runs like this:
- A lead submits a form.
- The lead gets an instant SMS and an AI phone call.
- The AI asks your qualifying questions and scores the lead.
- Hot leads are transferred live to your sales team.
- Warm leads are booked into your calendar.
- No answer: the engine retries over three days.
The transfer happens inside the call. The lead does not hang up, wait for a callback or fill in another form. If you have no sales team, the engine books every qualified lead for you to take yourself instead. You can hear a call yourself: the demo calls your phone, with your consent.
Warm transfer and cold transfer
Providers use two terms. AiDial's platform description is a useful example because it lists both:
- Warm transfer: the AI briefs the person receiving the call with the conversation so far, so they pick up knowing who the lead is and what they said.
- Cold transfer: the call is connected without a briefing, with fallback options if the destination does not answer.
AiDial also lists notifications by SMS and email when a transfer fails, voicemail detection with automatic retry, and configurable timeouts. These are exactly the details to ask any provider about. In our view a warm transfer is worth asking for, because the person who takes the call starts with context instead of asking the lead to repeat themselves.
What happens when nobody answers
A live transfer needs a live person. Plan for the failures before you switch it on:
- Nobody picks up. The AI should keep the lead engaged and offer a booking or a named callback time rather than letting the line ring out.
- It is outside team hours. Do not transfer to a phone nobody is watching. Route the lead to a booking instead.
- The lead hangs up while waiting. Keep the wait short. If the transfer fails, send the lead a text and alert your team so they can ring back at once.
- The team member is already on a call. Use a fallback chain of two or three people, then booking.
Treat the booking as the safety net. A lead who cannot reach a person should still end the call with a time in your diary.
When a live transfer fits, and when booking is better
This is our judgement from how the two outcomes work, not a rule:

The compliance side of a transfer
A transfer does not suspend the calling rules. The telemarketing Industry Standard 2017 still applies to the whole call: permitted hours, the opening disclosures, a mechanism for a synthetic-voice call to reach more information, and ending the call at once if the person asks. Three practical points follow:
- Check consent before the AI dials, not after the transfer. Our guide to consent to call from a lead form explains how.

AI live transfer: common questions
Is live transfer the same as a booked appointment?
No. A live transfer connects the lead to a person during the call. A booking puts a time in your calendar for later. Many setups use both: transfer the hot leads and book the warm ones.
What happens if nobody answers the transfer?
That depends on how the system is set up, so ask. A good setup tries other people, then falls back to a booking and alerts your team. In our engine, leads who do not answer the AI call are retried over three days.
Does the lead know it is an AI?

Do I need a sales team for this?
No. Without one, every qualified lead is booked for you to take yourself. The transfer only matters if someone can take the call.
